These Terms govern your access to and use of RoTracker, including its website, applications, subscriptions, tools, and related services (the “Service”). By creating an account, purchasing a subscription, or using the Service, you agree to these Terms. If you do not agree, do not use the Service.
1. Accounts and eligibility
You must provide accurate information and are responsible for safeguarding your login credentials and all activity through your account. Accounts may not be sold, transferred, shared with unauthorized individuals, or used for unlawful, fraudulent, abusive, or disruptive purposes.
2. Purpose of the Service
RoTracker provides organizational and productivity tools for automotive professionals and related users, including repair-order tracking, statistics, quotes, shop and advisor workflows, scheduling, vehicle-information tools, and optional artificial-intelligence features. It is not an accounting, payroll, tax, legal, emergency, safety, vehicle-diagnostic, or professional repair-advice service. You remain solely responsible for your records, calculations, appointments, customer communications, diagnoses, repair procedures, business decisions, regulatory compliance, and work performed.
3. User data and backups
You are responsible for maintaining independent backups of all information entered, uploaded, generated, or stored through the Service, including repair orders, quotes, notes, customer information, calendar events, vehicle details, VINs, messages, photos, and AI inputs or outputs. No online storage system can guarantee that information will never be lost, corrupted, deleted, delayed, altered, exposed, or unavailable.
Plan-based history windows describe what an account may access through the Service; they are not promises that older data has been deleted. Data may be retained for security, legal, billing, backup, fraud-prevention, or operational purposes, subject to applicable law and RoTracker's then-current practices.
To the maximum extent permitted by law, RoTracker and its owners, operators, employees, contractors, and providers are not responsible for lost, deleted, corrupted, inaccurate, or unavailable data; loss resulting from account closure; service interruptions; security incidents; third-party failures; lost revenue, customers, business opportunities, repair records, or quotes; or your failure to maintain backups.
Account closure may result in permanent data loss. RoTracker is not required to retain, recover, or provide data after closure except where applicable law requires otherwise.
4. Plans, trials, subscriptions, and billing
RoTracker may offer Free, Tech, Tech Pro, Shop, trial, promotional, complimentary, or administratively assigned access. The current pricing page, checkout page, and in-app plan comparison describe the features, limits, price, billing interval, and trial terms that apply when you enroll. Feature availability may depend on account role, shop settings, payment status, device, region, or administrative controls.
The Free plan currently includes up to 50 unique repair orders per calendar month, a rolling 30-day repair-history view, and the limited statistics identified in the Service. Reaching a Free-plan limit may prevent additional eligible activity until the next monthly period or until the account upgrades. Free accounts are not eligible for paid-member referral rewards. Paid scheduling, quotes, vehicle tools, reports, complete history, additional statistics, and AI features are available only when included in the applicable plan.
Trial terms, including trial length, payment-method requirements, the price after the trial, and whether the trial automatically converts to a paid subscription, are the terms displayed when the trial is offered or at checkout. If a trial offer states that it converts to a paid subscription, you authorize the displayed recurring charges unless you cancel before the stated deadline. Trial eligibility may be limited to new accounts and may be withdrawn or changed where permitted by law.
Paid subscriptions are processed through Stripe or another payment provider. By subscribing, you authorize recurring charges at the displayed price and interval. Subscriptions renew automatically until canceled. You may manage or cancel an eligible subscription through the billing controls provided by the Service or payment provider. Cancellation or downgrade generally takes effect as disclosed in the billing flow or at the end of the current paid period. Fees are nonrefundable except where required by law or expressly approved by RoTracker. Prices and plans may change upon reasonable notice.
If payment fails or a paid subscription is no longer in good standing, RoTracker may restrict paid features and present options to restore payment or move to the Free plan. Moving to Free may immediately or eventually limit history, features, and access according to the billing flow. You should export or back up information before downgrading.
A global administrator may grant, change, or time-limit account access without using Stripe. Administrative access does not cancel, pause, refund, replace, or modify an active Stripe subscription. While an active paid subscription exists, its paid tier is the minimum administrative downgrade level. Temporary access to a higher tier may later return to that paid tier. Users remain responsible for managing their paid subscription through the provided billing controls.
5. Referral program
The referral program is available only to eligible paid members when the referral option is shown in their account. Free users do not participate in or earn rewards through the referral program. A referral qualifies only when a new user uses a valid referral link, creates an eligible new account, and completes the required successful subscription payment. Self-referrals, duplicate accounts, fraud, refunded payments, chargebacks, and manipulated activity do not qualify.
RoTracker may reject, reverse, limit, or suspend credits where fraud, abuse, error, or a Terms violation is suspected. Credits have no cash value, are nontransferable, and may only be used toward eligible RoTracker charges. RoTracker may modify or discontinue the program at any time.
6. Acceptable use
You may not use the Service illegally or fraudulently; gain unauthorized access; disrupt its systems; upload malicious content; misrepresent your identity; infringe another person’s rights; abuse subscriptions, trials, promotions, or referrals; or copy, resell, reverse engineer, or exploit the Service except where law permits.
RT AI and any other artificial-intelligence features may be used only for their intended RoTracker purposes. You may not abuse RT AI, use it to generate or facilitate unlawful, fraudulent, deceptive, harmful, harassing, infringing, or malicious content, submit excessive or automated requests, attempt to bypass usage limits or safety measures, share access with unauthorized persons, probe or exploit the feature, interfere with its operation, or use its output to misrepresent work, testing, diagnoses, measurements, repairs, or other facts.
Suspected or confirmed misuse of RT AI may result in immediate limits on AI usage or temporary or permanent restriction, suspension, or termination of the user's account or access to some or all of the Service, with or without prior notice, as permitted by law. Users remain responsible for reviewing RT AI output and verifying automotive information against applicable professional judgment, current service information, and legal or workplace requirements before relying on or submitting it.
AI outputs may be incomplete, inaccurate, outdated, improperly sourced, or unsuitable for a particular vehicle or repair. Output formatting, including uppercase text, headings, citations, or confident language, does not indicate accuracy. You must not represent AI-generated content as a test, inspection, diagnosis, measurement, repair, or verification that was not actually performed. AI requests may be processed by third-party model and search providers, and you must not submit information you lack authority to disclose.
7. Scheduling, customer information, and vehicle data
Paid plans may include a calendar for customer appointments and personal events. Calendar entries may include customer names, dates, status, quick notes, vehicle year, make, model, and VIN. Selecting Create RO may copy available calendar information into the repair-order form, but you must review and correct the information before relying on or saving it.
The calendar is an organizational tool, not a guaranteed appointment, dispatch, reminder, emergency, or customer-notification system. You are responsible for confirming appointments, monitoring schedules, avoiding conflicts, and maintaining any backup calendar required by your business.
VIN decoding and vehicle dropdown data may be supplied by NHTSA or other third parties. Results may be incomplete, unavailable, limited for vehicles not intended for the United States, or based on manufacturer-reported data. A decoded VIN or selected year, make, and model does not verify exact build configuration, equipment, part fitment, recall applicability, repair procedure, or customer ownership. Verify vehicle information using the vehicle, current service information, and other appropriate sources.
8. Suspension and termination
RoTracker may suspend, restrict, or terminate an account, subscription, or Service access, with or without prior notice, for a violation or suspected violation of these Terms; fraud, abuse, unlawful or disruptive activity; nonpayment or chargebacks; security, legal, operational, or reputational concerns; discontinuation of the Service; or another lawful reason determined in good faith.
Where permitted by law, RoTracker may discontinue an account or the Service for business or operational reasons. Termination may cause immediate loss of access and data. You are responsible for exporting or backing up information beforehand.
9. Availability and changes
The Service may be updated, interrupted, restricted, modified, or discontinued at any time. RoTracker does not guarantee uninterrupted availability, error-free operation, compatibility with every device, permanent preservation of features, or continuous access to third-party integrations.
10. Disclaimer of warranties
TO THE MAXIMUM EXTENT PERMITTED BY LAW, THE SERVICE IS PROVIDED “AS IS” AND “AS AVAILABLE,” WITH ALL FAULTS AND WITHOUT WARRANTIES OF ANY KIND. ROTRACKER DISCLAIMS EXPRESS, IMPLIED, AND STATUTORY WARRANTIES, INCLUDING MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, TITLE, NON-INFRINGEMENT, ACCURACY, SECURITY, AVAILABILITY, AND RELIABILITY. ROTRACKER DOES NOT WARRANT THAT THE SERVICE WILL BE UNINTERRUPTED, ERROR-FREE, SECURE, OR FREE FROM DATA LOSS.
11. Limitation of liability
TO THE MAXIMUM EXTENT PERMITTED BY LAW, ROTRACKER AND ITS OWNERS, OPERATORS, EMPLOYEES, CONTRACTORS, AND PROVIDERS WILL NOT BE LIABLE FOR INDIRECT, INCIDENTAL, SPECIAL, EXEMPLARY, PUNITIVE, OR CONSEQUENTIAL DAMAGES, INCLUDING LOST DATA, PROFITS, REVENUE, BUSINESS, OR BUSINESS INTERRUPTION.
TO THE MAXIMUM EXTENT PERMITTED BY LAW, ROTRACKER’S TOTAL LIABILITY WILL NOT EXCEED THE GREATER OF THE AMOUNT YOU PAID ROTRACKER DURING THE THREE MONTHS BEFORE THE EVENT GIVING RISE TO THE CLAIM OR FIFTY U.S. DOLLARS ($50). NOTHING IN THESE TERMS EXCLUDES LIABILITY THAT CANNOT LEGALLY BE EXCLUDED.
12. Indemnification
To the maximum extent permitted by law, you agree to defend, indemnify, and hold harmless RoTracker and its owners, operators, employees, contractors, and providers from claims, losses, liabilities, damages, costs, and reasonable attorneys’ fees arising from your use or misuse of the Service, your content, your violation of these Terms or law, your business or professional activities, or your infringement of another person’s rights.
13. Intellectual property
RoTracker’s software, design, branding, documentation, and original content are owned by RoTracker or its licensors. You receive a limited, revocable, nonexclusive, nontransferable right to use the Service for its intended purpose. You retain ownership of information you submit while granting the permission necessary to store, process, transmit, back up, and display it to operate the Service.
14. Privacy
You are responsible for having the authority and necessary consent to enter, store, process, or share customer, employee, personal-event, vehicle, VIN, appointment, or business information through the Service. Enter only information reasonably necessary for the intended workflow, protect access to your account and devices, and comply with applicable privacy, consumer-protection, employment, and recordkeeping requirements.
15. Changes to these Terms
RoTracker may update these Terms. Updated Terms will be posted with a revised effective date. Continued use after they become effective constitutes acceptance where law permits. Material changes may be communicated through the Service, website, or account email.
16. Severability and entire agreement
If a provision is unenforceable, it will be modified only as needed or severed, and the remaining Terms will continue. These Terms and any additional terms shown during purchase or use constitute the entire agreement concerning the Service.
